How To Create Teams Meeting In Microsoft Outlook
What is a Microsoft team meeting?
Microsoft Teams is simply a chat-centered workspace that is included in Office 365 which helps team members to achieve more together. Aside from just chats, Microsoft Teams also offers support for video calls and meetings to enable teams to meet live, whether it is on-demand or a scheduled meeting.
Now that working from home is the defacto, video conferences are turning out to be the de facto way to meet. Here is how to create Microsoft Teams meetings directly from your Outlook, without having to book them over the Teams application.
To create a meeting with Teams from within Outlook either with Outlook Online or with the Outlook client you would be required to install the Teams client on your computer. This will install an add-in to Microsoft Outlook that provides a new option when you are creating a meeting. Add-ins that you install in the Outlook client would be automatically added to Outlook Online and vice versa. Once you have installed the Teams app, the add-in should now be available in both clients.
These options should be made available for all the users of Microsoft Outlook and Teams, not minding whether you have a paid Microsoft Office 365 /Microsoft 365 subscriptions. However, they are only available for email accounts that make use of Exchange, whether that is a free Microsoft Outlook.com/live.com/hotmail account, or it is a paid Microsoft account for your own domain. If you are using a non-Exchange account, such as a Gmail or a Yahoo account, the Teams add-in would not work for you. We would take you through the installation of the Teams client first. If you have installed the client and you still can not see these options, we have got some troubleshooting suggestions to show you.
Install the Teams Client
The fastest way to get the Teams client is to open up the Teams online. On the first page, you will be offered the chance to download the Teams client application.
If you have Teams online already open, click on the app download option that is at the bottom of the left sidebar.
Install the .exe file, and log in with your O365/M365 account details when it is asked for. To make sure that the add-in is installed in Outlook, restart Teams, and then restart Outlook.
Follow the instructions below to make use of the add-in in the Outlook client and in Outlook Online. If it is not available, follow these troubleshooting tips from Microsoft.
Create a Teams Meeting in the Outlook Client
When you install the Teams client application on your computer, it will install an add-in to your Outlook that Would have a new option when you are creating a meeting. The option is made available in the Home > New Items menu.
When you click one of these options, the meeting request would be changed to include a location of “Microsoft Teams Meeting” with a link in the body of the request that others can click on to join the meeting.
Create a Teams Meeting in Outlook Online
When you install the Teams client application on your computer, it will install an add-in to Microsoft Outlook that provides a new option when you are creating a meeting. In Microsoft Outlook Online, the option is made available in the meeting request.
Toggle the setting on to make it a Teams meeting. Unlike Microsoft Teams meetings you can create in the Outlook client, nothing changes in the Microsoft Outlook Online meeting request, but once you have sent the meeting request, the Teams link would come up in the event in your calendar.
For both Microsoft Outlook Online and the Microsoft Outlook client, fill in the attendee's details together with the date and time of the meeting as usual. Send out the request for the meeting the same way that you would with a normal meeting. The only difference here is that you and your attendees will join the meeting in Teams, instead of a meeting room in an office.
