Deleting Invoices & Other Transactions in QuickBooks & Novi AMS Novi AMS Help Center

We need to remove these check from QB but i do not want to mess up the liabilities system. By design, Novi AMS does not allow admin users to delete invoices or other transactions. Instead, transactions must be deleted within QuickBooks. This ensures that an association's accounting team is the only group that can void or delete an invoice.

  • If you delete a transaction, it's entirely removed from your books and won't appear in any reports or accounts.
  • You have the option to apply the unapplied to future invoices or apply them as credits.
  • Mark Calatrava is an accounting expert for Fit Small Business.

However, voiding a deposit turns the amount to zero, but the transaction is still recorded in QuickBooks. Checks from the undeposited funds account are then combined into a single deposit transaction when deposited in the bank. If you delete that deposit, then all the checks included in that deposit should reappear in the undeposited funds account.

Void vs Delete

I'd be glad to hear back from you if you have other questions.

If it's a bad debt, you also need to keep the original invoice and record the write-off separately. If you have a specific issue, please reach out to our support team here. I prefer to where is inventory damage reflected on a cash flow statement VOID, reason is I’ll still have a trail on what I’ve done with the transaction. Let’s continue to work with the same transaction, lets say you have a duplicate that needs to be voided.

This month’s QuickTips deals with voiding versus deleting your checks. While I am using QuickBooks® 2013 this will work on any version. You want to void or delete your check to make sure your books are current and reflecting your correct balance. When you void a check QuickBooks® will edit the check by changing the dollar amount and adding the word “Void” on the memo line. When you delete a check QuickBooks® will remove the check completely.

Is it better to delete or void an invoice in QuickBooks?

On the other hand, voiding an invoice cancels a particular payment or invoice. Voiding an invoice will keep the invoice number and list it in reports but changes the amounts to zero. In QuickBooks Online any deleted or voided invoice that has an unbilled charge, billable time, expense and credits remains in the customer's accounts and can apply to future invoices. I'd recommend checking the customer's profile and checking the billable time created. While we recommend always running your deposits through undeposited funds, the alternative is to record a check being immediately deposited in your bank account when received. For instance, when receiving a check against a customer invoice, you can choose to deposit the check immediately.

QuickTips™: Voiding vs Deleting Checks by QuickBooks® Made Easy™

If you delete a transaction, it's entirely removed from your books and won't appear in any reports or accounts. You can view some details of the deleted transaction in the audit log, but you can’t recover the whole transaction. If you have sent payroll to QuickBooks, you can void the paycheck. However, depending on your processing time, the debit from your bank account for payroll taxes and direct deposit may not be stopped. There are instances when a bill in Quickbooks is recorded as paid, but you need to void the check payment due to some issues (for example, a check was not received by the vendor).

These checks were for some payroll liabilities such as child support payments. I believe there was a payment made through the bank and there was also a check processed through the liabilities payment process of QB. We have verified with the agencies that they have been paid, but we still show a few very old outstanding checks when we do the bank reconciliation each month.

Deleting Transactions in QuickBooks

Yes, the inventory will be added back if you void an invoice. The quantity and amount of the voided invoice will be zeroed out. If the issue remains, I'd also recommend contacting the Customer Support Team via chat or phone.

That way, one of the support agents can further help you check your transactions on file. You have the option to apply the unapplied to future invoices or apply them as credits. Yes, the job costing time and other line items are still available if you create again in the invoice after deleting it, gf21.

No fret, in this blog post I’ll show you how to edit, void and delete transactions in QuickBooks Online. Open invoices should be directly deleted unless they are needed for a later date. Voiding an invoice will keep the invoice number and list it in reports but changes the amounts to zero. Hence, if you want to stop a particular payment from being realized by QuickBooks, select void. If you void a transaction, the record of it remains in QuickBooks but it won’t affect your books.
