How To Create a New Event in Outlook

Scheduling a meeting can be very challenging if you would need to find a time when everyone can attend all at the same time.

Here is how Microsoft Outlook can help you: 

1. To set up a meeting or event on Microsoft Outlook, hover over New Message > select the New Event from the dropdown menu, or select the calendar icon and then click on New Event.

2. With the pop-up window active, you can set a title for your event, invite people by using their email addresses, pick a date and a time, choose a location, and describe what your event is all about.

 

How To Use the Scheduling Assistant in Outlook

1. As soon as you add your invitees, Outlook would suggest a time when everyone is available. However, if you want to use your own time, you can click on the Scheduling Assistant in the upermost horizontal column of tabs.

2. You can now see the very exact times you and your attendees are now available for a meeting. Unavailable times would appear in blue, and the available times would all remain blank.

3. The blue rectangle selector will appear at a time when all the parties are available. Drag that rectangle to a more convenient time, and then click on Done in the top-left corner of the window.

 

How To Choose a Meeting Location in Outlook

Outlook would  redirect you back to your event's details, where you can finish setting up your meeting by selecting a specific location.

If your team works remotely, you can make use of use of Skype or Zoom  instead of online meetings by pasting the URL into the location bar that is opposite the dropdown menu.

But if your team is an in-office team, you can select a meeting room. To do this, click on the Add a location > Browse more rooms.

Rooms would will appear under the Room Finder thet is on the right column, indicating whether they are made available or unavailable for the meeting, which you can select in the Scheduling Assistant.

After you select a location, your meeting would be all set up! Simply click Send, and you would email your invitees a notification of your meeting, from where they can either accept or decline your invite. 

 

Should You Schedule Meetings in Outlook?

Setting up official meetings in microsoft Outlook can reduce the unnecessary back-and-forth communication that is regarding a meeting date. However, you can only schedule meetings that are in Outlook if the invitees are also Outlook users.

So, if you schedule several meetings outside your company with your clients who are not using Outlook, you would be better off using a different scheduling assistant tool.
